Employee Availability

With a large and varied workforce it can be difficult to keep track of employee availability using old fashioned paper based methods. TimeTEQ’s Availability module allows employees and managers to specify both preferences and hard rules for availability. The availability map for each employee is automatically referenced in the Schedule building process with clear highlights and prompts for the manager if shifts contravene the employee’s availability map.

Leave Management

A manual paper based leave management process is cumbersome and fraught with the possibility for error and fraud. The cost of a manual system extends far beyond the inherent time required to process leave – Human error and fraud at every step of the process as well as not being able to give your managers access to crucial data required to make appropriate leave management decisions.

TimeTEQ’s leave management process streamlines and automates the entire process and removes the possibility of fraud.

Employees are able to request leave and access their leave balances via the system. This application prompts the manager via email and the notifications area of the system. When reviewing the leave application, managers have all the information they require at their fingertips – the employee’s leave balances, a leave calendar that applies to all employees that the manager is in charge of and any impact that the leave application has on future schedules for the employee.

If the leave application is approved, the appropriate leave shifts are automatically created in the applicable schedule and timesheet, achieving what is almost impossible in a manual system – visibility and error-proofing. Once leave shifts are exported to payroll and processed, the employees’ leave balances are impacted accordingly.

Unplanned leave is also catered for in TimeTEQ. Within the timesheet approval screen, a shift can be delineated as a leave shift (sick leave, personal leave, leave without pay etc as previously configured). Vitally, leave balances are maintained and referenced during this process and TimeTEQ can prevent the granting of a leave shift if the balance is not sufficient.

In addition, the system maintains a complete history of all leave taken which can assist in identifying and managing those employees who take excessive leave.

In short, TimeTEQ achieves what a manual system never could – control and integrity of the leave management process
